Responsibilities

  • Coordinate activities between IT Operations Manager and IT Support Engineers. You are the communication conduit that ensures time is used efficiently by eliminating repetitive communications and “knowing” the state of all projects and the activities of all IT Support Engineers
  • Maintain the schedule of the IT Operations Manager. You will ensure that all activities of the IT Operations Manager are scheduled to prevent unnecessary interruptions
  • Scheduling of the IT Support Engineers. You will verify that any actioned items by the IT Operations Manager are scheduled with the responsible IT Support Engineer for completion
  • Ensure that all tasks are actioned and on-track for completion based upon schedule and priority. As the primary coordinator it is your responsibility to “know” which tasks are assigned to which IT Support Engineers and their status so that you can report back concisely to the IT Operations Manager
  • Be the first point of contact between customers and IT Operations Manager. Time of the IT Operations Manager is a limited resource and you will schedule contact as required and interrupt when necessary
  • Be the first point of contact between IT Support Technicians and IT Operations Manager. Time of the IT Operations Manager is a limited resource and you will schedule contact as required and interrupt when necessary
  • Review the Support Mailbox and action tasks accordingly. The support mailbox receives numerous automated and non-automated emails daily
  • Facilitate shipping and receiving of packages and mail
  • Manage inventory and office supplies. You will keep track of inventory levels and report on items falling below their minimum thresholds
  • Assist with the generation of customer quotations
  • Aid the other executive group members as required 
  • Assist with other general office duties as required
  • Assist with Technical Inside Sales. When potential business opportunities are identified they will be reported to the IT Operations Manager and facilitated as required
  • Assist with documentation as documentation is critical to ensuring consistency and continuity

Necessary Skills and Experience

  • High School Diploma
  • Extremely Organized – This is a critical requirement for this role
  • A master in the Microsoft Office Suite of tools (Word, Excel, PowerPoint, Teams, etc.)
  • Reliable vehicle and have a valid driver’s license.
  • Must be able to work independently in a fast-paced team environment with minimal supervision
  • Excellent written and oral communication skills
  • Technical writing and documentation skills
  • Ability to multi-task to manage competing demands
  • Must be able to prioritize and escalate issues
